The Green Mountain District of The New England Conference is excited to announce a search for an Administrative Assistant. This role is responsible for providing complete and confidential administrative support and office management for District Superintendent (Vermont). The Administrative Assistant is responsible for scheduling and offering meeting support appropriately. Must be proficient at formatting and writing documents, developing, and distributing meeting materials, facilitating travel arrangements, and creating and maintaining expense reports and budgets.

Essential Functions:
Communications and Information Management
• Respond to emails and phone calls in timely fashion; serve as resource, research, or refer as appropriate
• Update and maintain database with clergy compensation and employment information; church and clergy information; local congregation and district committee leadership assignments
• Use special corporate email system to publish and distribute weekly district e-newsletter and other emailed announcements and communications
• Create and update information for conference website: district webpages, events, and news articles
• Use database system to manage registrations for events and meetings (and potentially online forms)
• Use Microsoft Teams to facilitate cooperative work with other District Administrative Assistants, Database Manager, Bishop’s Administrative Assistant.

Administrative
• Create content, write, and receive articles for weekly district e-newsletter
• Create annual church conference schedule and annual clergy supervisory interview schedule; schedule district committee meetings, clergy gatherings, district resource events and other meetings or events as directed by the District Superintendent
• Communicate with pastors about church conferences, interviews, etc., and follow up on paperwork
• Receive, scan, file, track, record, and follow up on annual reports from clergy and local churches
• Prepare paperwork and process information for clergy employment and compensation
• Coordinate planning and hosting arrangements for district meetings and events
• Coordinate district member recruitment, recording, financial assistance, communications
• Provide administrative support for district committees and ministries as requested
• Submit weekly prayer requests to Bishop (and to e-Clergy as appropriate)
• Prepare special mailings such as certificates for local churches
• Assist District Superintendent with communications and tracking of special projects
• Assist District Superintendent with paperwork for mission work and procedures related to changes in church status
• Assist District Superintendent with applications received for grants, loans, special funding, etc.
• Prepare correspondence, research, and prepare information as requested by the District Superintendent

Office Management
• Maintain files for clergy and local congregations as well as general district files (paper and electronic)
• Submit expense vouchers to Conference Office; maintain district bank account
• Manage office email and US postal mail
• Secure travel arrangements as needed
• Manage inventory and supplies

Qualifications:
• High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint
• Working knowledge of database programs
• Knowledge of general office management principles and organizational policies and procedures
• Knowledge of administrative procedures and excellent grammar, spelling, and punctuation skill
• Working knowledge of The United Methodist Church and its polity is a preferred
